When calls freeze, shared files take too long to open or staff lose connection in meeting rooms, the issue is often the physical network underneath it all. Start with how your office actually works

Before choosing cable types or deciding where cabinets will go, look at the way people use the space. Count more than desks. Every fixed device that needs a reliable connection should be considered, including printers, meeting-room screens, door access systems, servers, network switches, CCTV cameras and wireless access points. It costs more and can be less flexible to install, so it is not automatically the best choice for every desk.

Fibre cabling has a different role. It is commonly used to link floors, separate cabinets or buildings, particularly where distance, high capacity or electrical interference are concerns. A practical design can use fibre for the backbone and copper cabling to connect individual workstations and devices.

The best option depends on your budget, your internet connection, the equipment you use and how long you expect the installation to serve the business. Paying for capability you will never use is unnecessary. Equally, installing the cheapest cable in a fast-growing office can create avoidable expense later.

Network cabling installation office planning: what to map

A clear plan prevents the familiar problem of having plenty of sockets in the wrong places. Walk through the office with the people responsible for operations, IT and facilities. Decide where teams will sit, where meeting rooms need connectivity and where network equipment can be safely housed.

Your plan should cover four key areas:

  • Desk locations and outlet numbers: Provide enough ports for computers, docks, desk phones and local equipment, with spare capacity where layouts may change.
  • Wireless access point locations: WiFi points need a wired connection and appropriate positioning. Installing them in a cupboard or at one end of a long office will not provide consistent coverage.
  • The communications cabinet: This needs ventilation, power, security and enough space for patch panels, switches, a router, firewall and cable management.
  • Cable routes and containment: Cables should be protected, tidy and accessible for future work. Avoid loose runs, pinch points and routes close to sources of electrical interference.

Meeting rooms deserve particular attention. A room may need wired connections for a video conferencing unit, display, room booking panel and a wireless access point, even if staff normally join with laptops over WiFi. Planning these details before furniture and finishes are in place is quicker and usually more cost-effective.

Do not treat WiFi as separate from cabling

Strong WiFi relies on good cabling. Each access point needs a stable wired connection back to the network, and many are powered through the same cable using Power over Ethernet, or PoE. This reduces the need for a nearby plug socket and keeps installations tidier.

The number and location of access points should be based on the office layout, wall materials, meeting rooms and expected number of users, not just the floor size. An open-plan office with 40 people on video calls needs a different design from a quiet workspace with occasional visitors.

A wired connection remains the better choice for stationary, high-demand equipment such as desktop PCs, servers, printers, storage devices and CCTV recorders. WiFi gives staff flexibility. Structured cabling supplies the foundation that lets it perform properly.

Keep the installation tidy, labelled and testable

The quality of the finish matters. Cables hidden behind desks or bundled without labels may work on installation day, but they make faults and future changes harder to manage. Every outlet, patch-panel port and cable should be clearly labelled to match the documentation.

Good cable management is not cosmetic. It allows an engineer to identify a connection quickly, replace a faulty patch lead and make changes without accidentally disconnecting a colleague or critical device. In a busy cabinet, clear labelling can save hours of disruption.

Each installed cable should also be tested. Testing confirms that the cable meets the expected standard and that there are no faults caused by damaged cable, poor termination, incorrect pin-outs or excessive cable length. Ask for test results and an updated layout showing outlet locations and cabinet connections. This documentation is especially useful when changing IT providers, moving desks or diagnosing a fault months later.

Plan the work around business downtime

Office cabling does not always require a full closure, but the work needs sensible scheduling. A new fit-out may allow cables to be installed before staff move in. In an occupied office, engineers may need access to ceiling voids, under-floor routes and desk areas, so evenings, weekends or phased work can be the least disruptive approach.

Agree the scope before work begins. This should include the number of data points, the cable specification, cabinet work, containment, testing, labelling and any removal of old cabling. If WiFi, CCTV, broadband equipment or network switches are part of the project, make sure responsibility for configuring and testing them is clear as well.

Cheap quotes can look appealing until exclusions appear. A price based only on cable runs may not include floor boxes, trunking, patch panels, cabinet tidy-up, access equipment or certification. A clear site survey and written scope make it easier to compare like for like.

Think beyond the first day

An office network should accommodate ordinary change. Teams grow, desks move and new systems arrive. Leave capacity in the cabinet, spare ports on patch panels and practical cable routes for future additions. Adding a few extra cable runs during an initial installation is often far less costly than reopening ceilings or floors later.

Security should be part of the design too. Put core network equipment in a lockable cabinet rather than under a reception desk. Separate guest WiFi from business devices through proper network configuration, and protect equipment from power issues where appropriate. Cabling alone cannot secure a network, but a well-organised physical setup makes secure management much easier.
